Planning and Scheduling Coordinator (Small Works)

Fire Door Inspection Solutions (FDIS), part of the IDSL Group, is looking for a Planning Coordinator – Small Works to join our fast-growing Operations team.

This is a newly created role, giving you the opportunity to take real ownership of the planning function and help shape how our small works are coordinated as the business continues to grow.

Based within a busy, vibrant office environment, you’ll work closely with our joiners, Project Managers, operational teams and customers to make sure works are fully planned, properly resourced and ready to deliver.

You’ll be responsible for coordinating joiners across a high volume of smaller fire door and passive fire protection works, making sure the right people, materials, access and customer requirements are in place before work begins.

The ISDL Group also manufactures its fire doors in-house, giving the business greater control over quality, supply and delivery, while allowing you to work closely with both our operational and manufacturing teams.

You’ll act as a key link between our internal teams and customers, keeping jobs organised, communication clear and works progressing smoothly from initial planning through to completion.

What you’ll be doing

• Planning and scheduling joiners and Project Managers across a busy portfolio of small fire door and passive fire protection works

• Creating jobs on FDK360 following site surveys and ensuring all job information is accurate and up to date

• Coordinating works from initial job creation through to completion

• Allocating joiners and resources based on location, skills, availability and job requirements

• Making sure everything is in place before works begin, including labour, materials, access and customer requirements

• Liaising directly with joiners and Project Managers to coordinate jobs, schedules and site requirements

• Liaising with customers to agree dates and arrange scheduled works

• Keeping customers updated on appointments, progress, changes or potential delays

• Managing a high volume of smaller jobs and ensuring they continue to move through the system efficiently

• Ensuring jobs are correctly updated and completed on FDK360

• Completing accurate data entry and maintaining job and customer information

• Working closely with Operations teams to keep works running smoothly

• Maintaining forward planning schedules and identifying upcoming resource requirements

• Reviewing workloads and adjusting schedules where priorities change

• Helping to reduce unnecessary travel, downtime and operational delays

• Supporting reporting and continuous improvement across the planning function

What we’re looking for

• Previous experience in planning, scheduling, coordination or resource management

• Experience coordinating engineers, operatives or field-based teams

• Experience managing a busy workload with multiple jobs running at the same time

• Knowledge of the fire door / passive fire protection industry

• Strong organisation and attention to detail

• Confident communication skills and experience liaising directly with customers

• Ability to manage changing priorities and react quickly when schedules change

• Good Microsoft Excel skills

• Experience using planning, scheduling or ERP systems would be advantageous
